Welcome to the WaterWise Hub website and thank you for your interest in our project. This Privacy Policy applies to the WaterWise Hub website and outlines how we process personal data in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation – GDPR) and any applicable national data protection laws. It provides information to visitors of the website; research participants and demo case contributors; newsletter subscribers; event attendees and other project stakeholders. We are committed to protecting your personal data and ensuring that your rights to privacy are respected throughout the duration of the project.

SciCo is the official partner in charge of maintaining this website on behalf of the WaterWise Hub consortium. Where relevant, individual project partners may act as joint controllers or processors.

What data do we collect?

We will collect and process the following categories of personal data, depending on your interaction with the WaterWise Hub project:

  • Identification data: First name, last name
  • Contact details: Email address, phone number
  • Professional information: Job title, organization/affiliation
  • Event participation data: Attendance status, dietary preferences (if applicable)
  • Communication data: Content of your inquiries, messages, or registration forms
  • Special categories of data (e.g. health-related information such as dietary restrictions): Collected only when strictly necessary and with your explicit consent

How do we collect your personal data?

We collect personal data directly from you when you voluntarily choose to interact with us in the following ways:

  • Newsletter subscription: When you subscribe to receive our updates, we collect your name and email address.
  • Email correspondence: If you contact us via email, we collect your contact details and the content of your message in order to respond appropriately.
  • Event registration: When you register for in-person or remote events, we may collect your name, email address, phone number, and—if required—information for logistical or emergency purposes (e.g. dietary restrictions).
  • Participation in research or demo cases: When you consent to take part in a Demo Case or other project activity, we will ask you to sign an informed consent form, through which relevant personal data may be collected.

In all cases, personal data is collected based on your informed and voluntary input. You are under no obligation to provide personal data; however, without certain information we may not be able to deliver services (e.g. confirming event attendance).

How do we store your data?

Your personal data is stored securely by the partners of the WaterWise Hub consortium. Each partner follows the project’s Data Management Plan and complies with applicable data protection laws, including the General Data Protection Regulation (GDPR). We take appropriate technical and organisational measures to protect your data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. These measures include secure servers, restricted access to authorised personnel, and regular updates to our security systems. Although we make every effort to ensure the security of your data, no method of transmission over the internet is completely secure. We are committed to protecting your personal data and taking all reasonable steps to keep it safe.

 

Do we share your data with third parties?

We may share your personal data with trusted third parties when necessary for the proper functioning of the WaterWise Hub project. These may include service providers such as cloud storage platforms, event or communication tools, and administrative support services used by the consortium partners. Data may also be shared with public bodies, such as the European Commission or national authorities, if required for project reporting, audits, or legal compliance. In all cases, we ensure that your data is shared only when necessary and in line with applicable data protection laws. Third parties receiving data are required to handle it securely and only for the intended purpose.

For how long do we keep your personal data?

As a Horizon Europe–funded project, WaterWise Hub is required to retain personal data for up to ten years after the end of the project, in accordance with EU funding rules and audit requirements. During this period, your data is processed in line with applicable data protection legislation, including the General Data Protection Regulation (GDPR) and, where relevant, Regulation (EU) 2018/1725. After the retention period has expired, and unless further storage is legally justified, your personal data will be securely deleted or anonymised.

Do we collect data from social media and external platforms?

The WaterWise Hub maintains public profiles on platforms such as LinkedIn, Instagram, and YouTube to share updates, communicate project activities, and engage with the public.

(a) Processing by third-party platforms: When you interact with our content on these platforms (e.g. by following, commenting, or sharing), your personal data may be collected by the platform operators. These providers act as independent data controllers, and their processing is governed by their own privacy policies (LinkedIn, Instagram, YouTube / Google). We are not responsible for the content, security, or data processing practices of these platforms. We encourage you to review their policies before submitting personal data or engaging through your account.

(b) Data we collect from social media: In some cases, WaterWise Hub may access aggregated analytics or publicly available information from these platforms (e.g. country, types of interaction) for purposes such as evaluating outreach, promoting engagement, or reporting on project impact. We do not export or retain individual-level data unless you contact us directly through the platform and give your consent to further communication. We do not use this data for profiling or automated decision-making.

Your rights under data protection laws

WaterWise Hub would like to make sure that you are fully aware of all of your data protection rights. Every user is entitled to the following rights under the applicable data protection laws:

  • Right of access – to obtain confirmation as to whether your personal data is being processed and, if so, to access that data and related information.
  • Right to rectification – to have inaccurate or incomplete personal data corrected without undue delay.
  • Right to erasure – to have your data deleted when it is no longer necessary, when consent is withdrawn, when the processing is unlawful, or when required by law.
  • Right to restriction of processing – to limit processing where the accuracy of the data is contested, processing is unlawful, or you have objected to processing.
  • Right to data portability – to receive the personal data you provided in a structured, commonly used, machine-readable format, and to transmit it to another controller where technically feasible.
  • Right to object – to object at any time to processing based on legitimate interests, unless we demonstrate compelling legitimate grounds.
  • Right to withdraw consent – to withdraw your consent at any time, without affecting the lawfulness of processing carried out before the withdrawal.
